Office Manager

Purpose of position

This an excellent opportunity to play a central role in the running of Awin’s London office, leading the Office Management function in delivering a superior level of service to all clients, management and employees.

This role will offer incredible variety – including diary management, travel and accommodation organisation and support, facilities management, front-of-house support, as well as management responsibility for our Office Management team. Reporting to the Operations Director, you will be responsible for leading on a number of projects aimed at improving the efficiencies in the office, as well as the overall employee experience of working at Awin.

To succeed in this role, we’re looking for someone which drive and passion for delivering excellent service, with extensive experience in managing operations in fast-paced and dynamic environments.

Key Tasks

Key responsibilities within this superb role include:
  • Overall responsibility for the smooth and effective running of the office and function, ensuring client, employee and management satisfaction regarding Office Management services.
    • Leading the Office Management team, delegating as necessary, to provide an excellent front-of-house service.
    • Managing stock control, replenishment and cost management processes within the team.
    • Ensuring that all communication from the Office Management team is clear and aligns with our corporate tone of voice.
  • Executive assistant support to the UK Country Manager:
    • Extensive diary management (covering internal/external work commitments).
    • Planning travel itineraries, booking travel, accommodation, transfers, arranging any extra requirements where necessary.
    • Acting as a representative for the Senior Management Team in their absence on the phone, via email and face-to-face.
    • General administration, including filing, letter writing, minute-taking and expenses management.
  • Ad hoc support to the London Senior Management Team and the Awin Executive Board, as required.
  • Leading and/or supporting on large-scale change projects, including office relocations and renovations – liaising with stakeholders, managing communications and timelines and coordinating with third party suppliers to ensure the effective delivery of the project.
  • Coordinating and supporting the organisation of corporate events and company parties and company meetings and group events.
  • Ensuring compliance with building facilities and security, liaising as appropriate with the building manager and employees.
  • Management of the Office Management team:
    • Provide support and management to the team, identifying development areas through regular catch-ups and PDP appraisal discussions.
    • Help nurture a dynamic team environment, which is able to respond to rapidly changing business needs and an ever-evolving business environment.
    • Act as a point of escalation for any issues within the team or business.
    • Lead on internal team meetings and communicate relevant business information or changes as required.
    • Manage the Office Management budget and review staff salaries in accordance with budget allocations.

Skills & Expertise

To be successful you will need to meet the below requirements.
  • Office management experience within a busy, dynamic digital environment.
  • Experience managing and negotiating supplier contracts and relationships, with a commercial- and service-oriented approach.
  • Experience managing with senior-level diary management and coordinating various diaries and with multiple stakeholders.
  • Excellent relationship building skills at all levels, both internally and externally
  • Ability to mediate and facilitate discussions with stakeholders at all levels
  • Strong analytical and budget management skills and experience
  • Experience in creating and managing an innovative healthy and engaging work environment.
  • Skilled, professional communicator with the ability to expertly liaise with clients, management and employees at all levels.
  • Superb time management, organisational and prioritisation skills.
  • Ability to be discreet with confidential and sensitive information.

You will be expected to have good understanding of affiliate marketing is and what we do in the industry for any role within Awin.
